Code of Conduct
- It is expected that participants in The Realms shall treat each other with respect and civility.
- This should extend beyond Realms of Solara gatherings as to not create “in-game” problems.
- Personal issues between members may be handled through the Rules of Trial by Combat listed in the Treatise of War.
- Participants expressing themselves in any forum on an issue related to The Realms shall likewise maintain civility and courtesy.
- Personal matters are not to be posted in official Realms of Solara media sites or forums.
- When considering sanctions in response to on-line behavior, the sanctioning authority shall consider the extent of the public comment as well as the gravity of injury done to an individual local branch, Kingdom or The Realms.
- Behavior that is disruptive to the peace and well-being of The Realms is subject to sanction from an expulsion to Termination and/or Rejection of membership in the sole discretion of Solara and especially where there is a continuing course of conduct.
Site / Event Rules and Prohibitions
- Site / Events Rules include, but are not limited to:
- Animals on the property. For service animals, familiarize yourself with the requirements of the event site. For the Realms of Solara, appropriately licensed and required service animals are allowed.
- Alcohol may be prohibited by the site rules or local constabulary law (dry counties).
- Smoking / Vaping: No indoor smoking or vaping at any time. Other site rules may apply. Be considerate at all times in outdoor areas.
- Weapons may be prohibited by the site owners.
- Live weapons that are part of your medieval costume must be peace bound other than for ceremonial or culinary use or when using as a tool (cutting rope, etc.)
- Modern firearms are prohibited in buildings, on the grounds, and in encampments.
- Period firearms must meet the legal standard of a replica weapon with appropriate safety markings denoting they are replica weapons.
- Quiet times may be required by site owners based on their location. These are to be strictly adhered to.
- Parking is in designated areas except as allowed by site owners (i.e., disabled parking etc.)
- Upon arriving at a site, you may unload your items but should move your vehicle to the parking area at the soonest possible to assist in the atmosphere of encampments and the overall site.
- If you are provided a parking marker upon entry, ensure that it is visible from your rear-view mirror or on your dashboard based on site rules.
- Site owners reserve the right to have vehicles out of compliance with the rules towed at the owner’s expense.
- Trash must be disposed of in appropriate receptacles and ensure that your area and encampment are clean of debris.
- Firepits
- In-ground, if allowed, must adhere strictly to the site owner’s rules. You must fill in any/all firepits at the end of the event.
- Above ground firepits must adhere strictly to the site owner’s rules.
- No fires are allowed if the site location is in an area in which a burn ban has been enforced. This includes tiki torches.
- Due to most state’s Rules regarding transporting firewood across state lines, you may not bring in firewood to the event site from out of state.
- Maintain your site medallion on your person if provided one.
- No one should be on site before Gate opens or after Gate closes unless otherwise approved by the Realms of Solara and the Site Owner.
- Familiarize yourself with weather shelters, if any are on the site, in case of severe weather.
- Photography / Videos:
- All participants are required to sign a Photo Release as many photographs do get taken during events and may be posted by the photographer on social media.
- The Realms of Solara utilizes photographs of our members and events on our website.
- We do ask that while cell phones and modern cameras are used by many to record the event, remember the less we use and see them, the better our medieval experience will be in the moment.
- Photographs of children should not be posted without written parental consent.
- Theft and other mundane crimes will not be tolerated and will be reported to the authorities.
- All participants are responsible for their own belongings and equipment. The Realms of Solara assumes no liability for a member’s property.
- Alcohol
- All individuals who engage in the consumption of alcohol do so at their own risk and are responsible for the use and distribution thereof. The Realms of Solara assumes no liability for the use of any alcohol at any time. The following rules apply:
- All site rules regarding alcohol must be adhered to (such as discrete and compliance with “dry” and prohibition rules).
- Do not allow minors any alcohol.
- Alcohol may not be sold at any Solara event by groups / branches. Any Lord, Officer, or Branch serving alcohol is doing so as an individual and not as any official duty of their office.
- At events where alcohol use is stated as “discrete” you must use a mug or horn at all times.
- At events where alcohol is prohibited, you may not bring alcohol into the event site.
- All site rules regarding alcohol must be adhered to (such as discrete and compliance with “dry” and prohibition rules).
- All individuals who engage in the consumption of alcohol do so at their own risk and are responsible for the use and distribution thereof. The Realms of Solara assumes no liability for the use of any alcohol at any time. The following rules apply:
- Illegal and/or illicit drugs are prohibited at all times and at all events including possession, use, and/or selling including marijuana regardless of state Rules which may allow recreational use thereof.
- NO MEMBER may participate in any marshal activity under the influence of alcohol or impaired by drugs.
- Please be aware of your behavior and language around children whether cursing or other adult only appropriate conversations.
- We will not tolerate harassment, including bullying, coercion, and threats outside of the context of the rules of game play.
- Disruptive elements may be removed from events / practices / gatherings up to and including calling civil authorities as warranted.
- Any of the above infractions can result in a warning, removal from the event, banishment from any and all further events, revocation of membership and reporting to civil authorities to address the matter.
- Security??
- Criminal Activity
- Matters of criminal activity (theft, assault and battery, et. al.) should be reported to local authorities.
- Such matters are outside the scope of the authority of Realms. Realms will cooperate with authorities on such matters.
- Individuals committing criminal acts will be disqualified and their membership revoked and assume all liability for their actions.
Religion
- The Kingdom has no desire to have conflict regarding religion.
- All individuals are free to practice their own personal religion. The Kingdom of Solara does not discriminate based on religion.
- The study of medieval history is acceptable.
- Historically based rituals may be utilized at official events such as
- A prayer before feast, a blessing, a wedding (etc.) if done in a medieval style for the ambiance of the event.
- A ritual based on historical pagan rituals may be performed if germane to the event / Branch such as a priestess blessing the battlefield, a wedding, etc.
- If any group or event uses such historically styled religious rites, they may do so. This does not imply that the ceremony is authorized, sponsored, or promulgated by the Kingdom of Solara.
- No member may be compelled to observe or join in the ceremony.
Modern Politics
- It is our practice to leave the mundane world at the gate when we meet for practice, gatherings, and events.
- Therefore, it is highly recommended that modern politics are not discussed during these gatherings, even if all are in agreement on the matter.
Termination / Rejection of Membership
PURPOSE OF SANCTIONS
The purpose of a sanction is to foster an atmosphere of cooperation and enjoyment for The Realms and participants, by removing or limiting the participation of an individual who has violated the rules of The Realms, Kingdom law or modern law. Behavior, past or present, that places The Realms at risk is also subject to sanction, termination and/or rejection of membership. Sanctions should be tailored to the gravity of the offense. Interpersonal conflicts should be handled at the lowest level (Branch banishment, Trial by Combat, et. al.)
- Branch Lords, up to and including the Universal Council, may impose sanctions, expel members, or banish non-branch members from their groups / events at their sole discretion.
- All actions and reasons for such action must be reported to the Crown of the Kingdom in which the membership resides, the Crown of the Kingdom in which the Branch is a member, and the Board of Directors.
- Members may appeal the matter in writing to the Board of Directors of The Realms within 5 business days of said action.
- Upon appeal, the matter shall no longer be considered confidential.
- The decision by the Board of Directors regarding any appeal is final.
- Membership may be Terminated and/or Rejected for the following reasons but not limited to:
- Actions that endanger the health and safety of members or disturb the peace at an event/gathering up to and including an action which would make it reasonable for modern authorities to be called for assistance.
- Actions in the course of performing official duties on behalf of the Kingdom of Solara which would make it reasonable to report to modern authorities.
- Actions that endanger The Realms, as deemed at the sole discretion of The Realms.
- Violation of the By-Laws and Articles of Incorporation.
- Conviction or violation of civil or criminal law.
- Membership may also be rejected for any reason upon the discovery of a Termination of former membership under this rule.
- During the review of any matter membership and/or attendance at events or gatherings may be suspended until such time as a determination has been reached.
